Terms and Conditions – Safari Zyvora Tours

1. When These Terms Apply

These Terms and Conditions govern the relationship between you (the Client) and Safari Zyvora Tours in the following situations:

  • When booking a trip directly with Safari Zyvora Tours.

  • When booking through our authorized partners or sales agents.

By making a booking with us (directly or via partners), both parties automatically agree to these Terms and Conditions.

These Terms define your rights and responsibilities while booking and participating in any tour or adventure in Tanzania with us.


2. Use of Personal Information

To arrange your safari or climbing expedition, we require certain personal details, including:

  • Full name, age, and nationality

  • Passport information

  • Dietary and medical requirements

Parts of this information may be shared with:

  • Tanzania National Parks and wildlife authorities for permits

  • Hotels, lodges, and camps for accommodation arrangements


3. Booking & Payment

  • Your booking begins when you contact us via email or phone. A dedicated travel consultant will guide you through all planning.

  • After trip details are agreed upon, an invoice will be issued.

  • Your reservation is confirmed when the deposit is received. Deposit amount and deadlines will be communicated by your consultant.

  • Full payment is required at least 14 days before the tour begins, unless otherwise agreed in writing.

  • Delayed payments without prior notice may result in cancellation, with deposits potentially forfeited per our cancellation policy.

  • All bank charges and transaction fees are your responsibility.

  • Credit card payments incur a 3.5% surcharge.

  • Incomplete payments must be settled upon arrival in Tanzania.


4. Traveling with Minors

  • You must be 18 years or older to make a booking.

  • A parent or legal guardian must book on behalf of any minor.

  • Minors must be accompanied by an adult throughout the trip.

  • The accompanying adult is fully responsible for the minor’s conduct and any resulting damages.

  • All legal and travel documents for minors are the responsibility of the adult.


5. Group Bookings & Third-Party Agents

If booking for others (agents, tour organizers, group leaders), you are responsible for:

  • Informing all travelers of these Terms and obtaining their consent

  • Ensuring timely and accurate payments

  • Providing correct traveler information

  • Communicating any itinerary changes to all participants

If you cannot assume this responsibility, each traveler must book individually.


6. Prices

  • Confirmed bookings remain at the agreed price unless government fees, park charges, or taxes increase.

  • In case of price changes, you may:

    • Cancel for a refund according to our cancellation policy

    • Accept the updated price and pay the difference


7. Changes to Your Itinerary

Requested by You:

  • No charge for changes that do not incur extra costs.

  • Additional costs must be covered by you.

  • No refunds for unused services (missed tours, meals, etc.).

Made by Us:

  • Adjustments may occur due to weather, road conditions, or safety concerns. Notification will be provided promptly.

External Factors:

  • Safari Zyvora Tours is not responsible for delays or disruptions caused by:

    • Airlines

    • Road closures

    • Force majeure events (weather, strikes, etc.)

  • Any additional costs are your responsibility or may be covered by insurance.


8. Changing Travel Dates

  • Requests must be made at least 60 days before the original tour date.

  • New dates must fall within 12 months of the original date.

  • Airlines and accommodations may charge penalties or adjust pricing, which you must cover.


9. Cancellation Policy (Client)

  • If hotel or airline penalties exceed these percentages, the non-refundable amount increases accordingly.

  • Bank fees for refund transfers will be deducted.

  • We strongly recommend obtaining cancellation insurance.


10. Cancellation by Safari Zyvora Tours

  • If we cancel your trip, you will receive a 100% refund of all payments made.


11. Visas & Travel Documents

You are responsible for:

  • Valid passport (≥6 months validity, with 2 blank pages)

  • Obtaining a valid Tanzanian visa

  • Covering all visa-related costs

Safari Zyvora Tours is not responsible if you are denied entry. No refunds will be issued.


12. Accommodation

  • Open group trips include shared double/twin rooms.

  • Solo travelers are paired with same-gender companions unless a single room is requested (extra charge).

  • If listed hotels are full, an alternative will be offered before confirmation.

Kilimanjaro Climbs:

  • Tents are shared (2 per tent)

  • Single tent accommodation may be requested for an additional fee (except Marangu & Meru routes)


13. Fitness & Medical

  • You are responsible for assessing your physical fitness.

  • Safari Zyvora Tours may require a medical form. Failure to provide accurate information may result in cancellation without refund.

  • Special dietary requirements must be communicated 30 days prior to arrival.


14. Travel Insurance

  • Mandatory for all tours and climbs.

  • Must cover:

    • Emergency medical treatment

    • Evacuation and repatriation

    • Trip cancellation/interruption

  • Kilimanjaro climbs require insurance covering high-altitude trekking (up to 6,000 m)


15. Guides’ Authority

  • You must follow all instructions given by guides.

  • Guides may require participants to descend or leave the tour if safety risks arise.


16. Risks of Adventure Travel

  • You acknowledge inherent risks of traveling in remote or wilderness areas.

  • By participating, you accept these risks and release Safari Zyvora Tours from liability for incidents arising from them.


17. Damage to Property

  • You will be charged for deliberate or negligent damage to equipment or property owned by Safari Zyvora Tours.


18. Third-Party Service Providers

  • Hotels, lodges, and airlines are third-party service providers.

  • Safari Zyvora Tours is not responsible for their operations; their terms apply during your stay or flight.


19. Luggage and Valuables

  • We are not responsible for lost, delayed, or damaged luggage by airlines.

  • Rental gear is provided if your climbing equipment is delayed, only for items originally in your luggage.

  • You are responsible for personal valuables unless stored in our secure company safe.


20. Media & Marketing

  • By joining our tours, you consent to photos or videos containing your image being used for marketing purposes without compensation.

  • Inform us in advance if you do not wish to appear in photos or videos.
